Privacy statement

We are a small tour company, not an advertising business. We ask for the details we need to run your tour and to send you a confirmation, and we do not sell or trade any of it. This page explains exactly what that means.

Who is responsible for your data

Holland City Tours is the data controller. We are registered with the Dutch Chamber of Commerce under number 89751736, VAT ID NL004760596B94. For any question about your data, email info@hollandcitytours.com.

What we collect, and when

When you book a tour

Your name, email address, phone number, the tour you chose, the date and start time, your group size, the language you want your guide to speak, and anything you write in the comments field. If you add pickup and drop-off, we also store the address or hotel you give us.

When you send us an itinerary

Your name, email address, travel dates, the number of travellers, and the itinerary text you paste into the form on our Plan my trip page.

When you email, call or message us

Whatever you choose to tell us, and your email address or phone number so we can answer.

What we never see

Your card or bank details. Payments run through Mollie, and the card data goes straight from you to them. It never passes through this website.

Why we are allowed to use it

  • To carry out our agreement with you. We cannot run a tour without knowing who is coming, when, and how to reach you on the day.
  • To meet a legal obligation. Dutch tax law requires us to keep our invoices and the administration behind them.
  • Because you asked us to. If you send us an itinerary for feedback, or ask a question, we use your email address to reply.
  • With your consent. Anything optional, such as analytics cookies, happens only if you accept it, and you can change your mind at any time.

Who else sees it

Only the companies we need to actually deliver the service. Each of them is bound by a processing agreement and may use your data only on our instructions.

Your guide is told your name, your group size and anything you asked us to take into account, so they can look after you properly. If you booked through a platform such as GetYourGuide, Viator or a travel agent, that company has its own privacy policy covering the data you gave them.

We do not sell your data, and we do not share it with advertisers.

How long we keep it

Booking and invoice records are kept for seven years, because Dutch fiscal law requires it. Emails and enquiries that never became a booking are kept for up to two years, so we can pick up a conversation where it left off, and then deleted. Ask us to delete something sooner and we will, unless we are legally required to keep it.

Cookies

This website needs a small number of strictly necessary cookies to work: your payment session with Mollie, protection of the forms against abuse, and the choice you make in the cookie bar, which we remember for six months in local storage under htc-cookie-consent. Those are always on, because without them the site cannot function. There are no advertising or retargeting cookies on this site at all.

Anything else, such as cookies that help us understand which pages people find useful, is set only if you accept it. Those are Microsoft Clarity (cookies _clck, kept a year, and _clsk, kept a day, processed by Microsoft Ireland Operations Ltd) and PostHog (a ph_*_posthog cookie, kept a year, processed by PostHog Inc. in its EU region). You can decline, and the site will work exactly the same. If you decline we still count page views, but without cookies and without storing anything on your device: the pages of one visit are grouped by a code built from your IP address and browser that is renewed daily and cannot be traced back to you or matched to another day. You can change or withdraw your choice at any time with the Cookie settings link at the bottom of every page, or by clearing this site's cookies in your browser. Withdrawing is exactly as easy as accepting.

Your rights

  • Ask us for a copy of the personal data we hold about you
  • Ask us to correct anything that is wrong
  • Ask us to delete your data, where we are not required to keep it
  • Ask us to send your data to you or to someone else in a portable form
  • Object to a particular use of your data, or withdraw consent you gave earlier

Email info@hollandcitytours.com and we will answer within 30 days. If you are not happy with how we handled it, you can complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

Changes to this statement

If we start using your data in a new way, we will update this page and change the date at the top. Our general terms and conditions cover everything else about booking with us.
